Normative base

The appointment of work book entries is a confirmation of the length of service for further employment and the presentation of personal data to the territorial body of the PFR when assigning a pension.

The record of the dismissal of a person is carried out on the basis of an order of the T-8 form, issued at the enterprise and signed by the head.

The right to make an entry has a responsible person authorized on the basis of a job description or order.

There is a standard scheme for filling out a document when terminating a contract:

  • Column 1 - chronological number.
  • Column 2 - the day, month and year of the entry (may differ from the date of the order).
  • Column 3 - text part with a link to the article of the Labor Code of the Russian Federation.
  • Column 4 - the basis for dismissal - the order of the enterprise indicating the date and number.

Order and rules

When filling out a work book, the following general rules are observed:

  • The entry is made on the free line of the book.
  • When filling out, dark ink is used.
  • Each new entry is followed by a sequence number. The exception is cases of making recovery entries.
  • When specifying document dates, Arabic numerals are used. Days and months have a two-digit format, years have a four-digit format.

Signatures

When filling out the book, signatures are put only after the final record of the employer, indicating the dismissal.

How is the seal applied?

When entering data into the book on the employment of an employee, his movements, the records are not certified by signatures and seals.

Only the entry made by the employer upon dismissal of the employee is certified by the seal of the employer. The imprint is placed in a free space, partially overlapping the text part of the entry in the place where the positions of responsible persons are indicated. The text under the imprint should be easy to read.

The stamp data must correspond exactly to the employer.

If the company is reorganized, it will be necessary to make a record of the adjustments made to the company data before dismissal.

How to mark that the employee is familiar?

The procedure for familiarizing a person is as follows:

  • Presentation of the order of the enterprise on hiring, moving, dismissal.
  • Confirmation of familiarization with the signature entered in the order and personal card.
  • Entering a signature in the work book on the last working day.

For review, under the data of the responsible person, an entry is made: “Employee Petrov K.M.: (signature)”.

It is not required to supplement the signature with the wording “acquainted”, but the introduction of auxiliary text is not a violation of the order of maintaining the document.

Making corrections

Erroneous entries identified after they have been made must be corrected.

The existence of corrections does not affect the validity of the work book.

If the employer makes a corrective correct entry upon dismissal, the seal is made again.

When is a record change required?

When filling out a work book, it may be necessary to make corrections in cases where:

  • Wrong title page text. The entry is crossed out, the correct text is entered next to it and the reason for the changes indicated on the cover of the book.

Only the text of incorrect content is subject to correction.

Any organization certainly needs to have work books for everyone who works in it on an ongoing basis and for more than five days. Personnel officers note here all the important information about the professional activities of its owner - this is the requirement of the Labor Code and the sample and rules for filling out a work book, we will analyze in today's article.

It is allowed to make marks on the pages of the book with a blue pen (purple as an option) or black, the use of various kinds of abbreviations is considered a mistake.

Title page information:

  1. Name. It must be written in full form, as in the passport, without the use of abbreviated forms and initials. Data can be found in a passport, driving license, military ID and similar documents.
  2. Date of Birth. Arabic numerals are used to write it. When specifying the day and month, two ordinal numbers are used, and the year is written as four ordinal.
  3. Education. This line contains the level of education available, which can be secondary vocational, higher or other. Here you can enter information about education that is not completed at the moment. The data necessary for the correct completion of this paragraph should be taken from the documents provided by the employee.
  4. Speciality. Here the main working specialty of the owner of the book, received by him in an educational institution, fits in. This information is also specified according to the documents on education provided.
  5. Date of completion. As a rule, an important date is fixed here - the day the first entry in the book was made. A characteristic feature of indicating the date in this line is that the month can be written in words, and this will not be considered an error.
  6. Signature of the owner of the book. Everything is clear here, the job seeker himself signs.
  7. The signature of the employee who deals with all issues related to the execution of such documents. There are options here. Ideally, the personnel department should be in charge of such things, respectively, the signatures in the books are made by his boss. However, not every company has its own personnel department, so often such responsibility is assigned to an accountant, or even to a manager.
  8. Seal. It confirms everything that was stated earlier. This may be the official seal of the company or its personnel department, if any.

Entering data about the main work

  1. Company name. It is written in the third column of the table, first in full, without abbreviations such as OOO, ZAO, etc., and then the abbreviated form of the name is additionally signed in brackets.
  2. Record number. The serial number of absolutely any job record is entered in the required column of the table, i.e., for example, at the first employment it will be the number “1”, when transferring it will be “2”, and so on. It is noteworthy that this figure is placed on the line following the name of the company, and the name itself forms a kind of "cap" over all subsequent marks.
  3. Date of. The date of official registration for work is entered in the columns of the table specially designed for this purpose in Arabic numerals. As for the line, the information is located on the same line as the serial number of this entry.
  4. Job application record. It is written in the third column and begins on the same line that contains the date of the device for work. The name of the division of the company where the employee is accepted, and his position are indicated.
  5. Indication of the document that became the basis for the employment of the owner of the book. Usually they get an order to hire a new employee. This information is entered in the last column on the same line as the previous entry.

Entering information about part-time work

Sometimes it happens that an employee performs certain duties, combining them with his main job. Information about such a labor initiative is recorded only at the request of the employee himself. If he has a desire and he asked to make a mark in the book, then the procedure for entering data will be similar to that described earlier, only the name of the organization does not need to be written a second time.

Transfer to another unit or change of position

It happens that an employee is transferred for further work to another department or changes position. Naturally, such changes in his career path must be fixed in the labor.

  1. Record number. A new milestone in labor is marked, of course, with a new number in a row.
  2. Date of. The date of the official translation is written in Arabic numerals.
  3. A record of a transfer or a new position. In the third column, the name of the unit where the owner of the labor is transferred and his new position are written.
  4. Basis for translation. The last column of the table contains the data of the transfer order.

Entering information about the dismissal

The dismissal of an employee is a reason for another entry into the labor force, and it must be done on time, since on the final working day it must be returned to the owner. Delay in such a matter may threaten with a fine and compensation for an employee who has stopped working in this organization.

  1. Serial number. Dismissal is another entry, and it must have its number in the column intended for this.
  2. Date of. The date of the final working day is indicated here - it is she who is considered the date of the final dismissal. Naturally, the numbers must be Arabic.
  3. Causes. In the third column, where the position and place of work are recorded, you need to make a note about the reason for dismissal, not forgetting to refer to the required article of the Labor Code. For example, if the dismissal was preceded by the immediate desire of the employee, one must refer to Article 77, paragraph 3.
  4. Base. The last column contains the data of that document (usually an order for dismissal), on the basis of which the dismissal occurred.
  5. Seal. After completing all the records, you need to seal them, as well as the signature of the head of the company or other authorized person. The resigned employee also signs, and the dismissal can be considered completed.

Making corrections

Sometimes errors occur when writing down various information in the worksheet, for example, instead of "senior engineer" it is simply written "engineer". It is forbidden to cross out and gloss over anything, and there is only one way to correct it - to invalidate the erroneously indicated data:

  1. Number . The number of the next record is put down.
  2. Date of. The date from which the erroneous entry will be considered invalid is recorded.
  3. In the third column, the following text is written "Entry under No. _ is invalid."
  4. A new record is made with up-to-date and correct information, for which its serial number and date are also affixed.

When hiring a new employee, the employer must fill out the employee's work book. And you need to know how to do it right. According to the letter of Rostrud dated 08/09/2015, clarifications were made, according to which the employer now may not enter the name of the organization, but put a stamp instead. It is accompanied by the transfer by the employee of the necessary, one of which is a work book. If a citizen is employed for the first time, then the company must provide him with a work book, where the first entry must be made, and if this document has already been filled out earlier, then the entry is made in chronological order.

To do this, the full and short (if any) name of the organization is entered in column 3 (according to the instructions approved by the Ministry of Labor of the Russian Federation of October 10, 2003 No. 69, clause 3.1). At the same time, according to this instruction, the entry can be made with a rollerball pen (ballpoint), gel or fountain ink of purple, blue, and also black. Nothing was said about the stamp in this instruction, the explanation of Rostrud was made in a letter dated 08/09/2015.

How to fill out a work book when hiring a new employee

The use of an organization's stamp when making an entry in an employee's work book is not a violation, such an opinion was voiced by Rostrud. The stamp is equivalent to the usual record. To avoid questions, the color of the ink when setting the stamp must be selected from the allowed ones, i.e. black, blue or purple, it must also contain the full name of the organization and an abbreviated one, if any.

This information will be enough to fill in the labor, you should not overload it with other information - add the TIN, phone number or address of the organization. However, it will not be a violation to enter additional information if it is correct.

If the stamp contains only the abbreviated name of the organization, is turned upside down or badly printed, then it is safest to invalidate it, for which make an appropriate entry, as in the example below. Such corrections can be made, because both the record number and the date are missing before the stamp, and such a record is not numbered.

You can write it in the following form: “The stamp with the name of the organization is invalid” or as on the attached sample. After that, below, in column No. 3, the full name of the company (and abbreviated if available) is entered or a stamp is placed without errors.
